A well-established civil contractor in Vancouver is looking for a detail-driven Project Controls & Administration Coordinator to support project and business operations. This role sits in the office and reports directly to the Business Manager, playing a key part in subcontractor management, cost control, project reporting, and general administration.


Perfect for someone with a construction or engineering background who enjoys the operational side of project delivery.


Key Responsibilities
Project Controls & Cost Management

  • Assist with project cost tracking, coding, and forecasting
  • Monitor budgets, variances, and financial performance
  • Support preparation of monthly cost reports and project KPIs
  • Maintain accurate project documentation and data integrity
Subcontractor Payments & Coordination
  • Process subcontractor progress claims and ensure timely payments
  • Review, verify, and track supporting documentation
  • Coordinate with project managers to resolve discrepancies
  • Maintain logs for contracts, invoices, and approvals
Administration & Reporting
  • Prepare and update project schedules, logs, and documentation
  • Support internal reporting to the Business Manager
  • Maintain organized digital and paper filing systems
  • Assist with procurement documentation and change orders
  • General office and project administration as required
Qualifications
  • Background in construction, civil engineering, or a related field
  • Experience with project controls, cost tracking, or contract administration
  • Strong numerical accuracy and attention to detail
  • Proficient with MS Office (Excel essential); experience with construction software is an asset
  • Excellent communication and organization skills
  • Ability to work collaboratively with field and office teams
