The Role:
As a Contracts Administrator you will be responsible for all aspects of contracts administration on projects. Add value and delivering contracts to commercial, time, quality and contractual requirements. You will be a critical support to the project management team by knowing the contract and being responsible and involved in all aspects of risk management, procurement, contract budgeting, forecasting and reporting and completion of administration.
Managing multiple projects to completion, you will be accountable for the total contract coordination and administration encompassing:
- Attend and assist the Project Manager with Pre-award meetings and facilitate a comprehensive handover process from the estimating team.
- Utilise, know and maintain contracts, financial records and reporting within our systems (Workbench).
- Support the Project Managers with identifying and managing any exceptions and/or contractual anomalies/risks and assist and prepare and track any necessary variations within Workbench.
- Prepare monthly progress claims (with the PM), issue payments schedules and invoices in line with SOP requirements.
- Forecast and monitor provisional sum and material supply budgets (Schedule of Rates).
- Prepare and issue Notice of Delay and Extension of Time Claims.
- Issue notices of practical completion and the release of Bank Guarantee and retentions.
- Provide support to the project teams so to enhance their project costing/reporting capabilities to better monitor a project’s performance in real time.
- Notify, maintain and collate records for compliant contact administration in an orderly and timely manner.
- Subcontract Documentation: Prepare, review and/or ensure all subcontractor packages/ contracts are drawn up, issued and managed as per the required scope of works and budgets.
- Obtain and enter any required security and retention arrangements.
- Liaise with subcontractors to ensure all relevant and required insurances are current, compliant and provided for record.
About You:
- 3-5 years experience in a Contracts Administrator or Quantity Surveyor role
- Sound knowledge of the civil infrastructure industry
- Strong commercial acumen
- Ability to negotiate and manage client interface
