Civil Superintendent – Metro Vancouver
  
Our client is a civil contracting company based in Langley, B.C. and operates throughout the province. They work with some of the largest private development firms, as well as various civic and provincial government agencies. They are committed to their  growth and not just their bottom line. 
 
Roles and Responsibilities


Superintendent Role – Day to Day

  • Identify possible costing advantages or disadvantages to proposed job and discuss as needed with PM / Estimating on an ongoing basis
  • Control and coordinate multiple site projects, based on workload
  • Provide job updates, progress, or any discrepancies to Project Manager
  • Daily site visits to communicate with site Foreman to prevent miscommunication and resolve issues
  • Relay any changes to project and review with site Foreman as received
  • Provide the appropriate information regarding construction and material specifications to the site Foreman
  • Oversee and enforce quality control
  • Deal with and resolve public issues
  • Stage 1: addressing the concerns and channelling accordingly
  • Receive, review, approve employee holiday requests, Manager requests to be approved 
  • Schedule and set up sub-contractors
  • Ensure crews are meeting goals, schedules and productions laid out by estimate
  • Ensure crews are using resources effectively
  • Ensure subs are on track and have details of job
  • Communicate with PM and vice versa to ensure their awareness of job status, issues, extra work
  • Keep track of work remaining on jobs
  • Deal with engineers and clients to sort out field issues
  • Schedule equipment moves and advise necessary parties with appropriate documentation and PO#
  • Directing and managing the work loads of supporting staff to include training, mentoring and site leadership
  • Managing changes in project scope to ensure that the scope, terms, conditions of the contract are being met
  • Tracking all site activity to ensure tasks are being quantified and reviewed by clients/ consultant
  • Managing and maintaining client relationships onsite
  • Obtaining and managing all QC related aspects of the job and submitting as required prior to key stages and hold points in project; (i.e. gravel density signoff and pipe tests prior to paving)
  • Verifying craftsmanship of all tasks with employees and foreman
  • Reporting to peers as required to allow for smooth transitions of crews and equipment
  • Administering sub contracts, purchase orders, and other site agreements
  • Maintaining and following site permits, NOPs, TMP, One Calls, etc.
  • Obtaining and managing required site inspections
  • Ensure equipment is being taken care of and maintained properly



Superintendent Role – Safety

  • Supers are the main point of contact for any accident (minor or major)
  • Investigations to be completed by Super, CSO will assist with this investigation
  • Investigations to be vetted by Safety Coordinator and PM
  • Calls for to be made to PM and VP Construction for medical aid and majors and incidents including outside businesses like utilities or cities.
  • Monitor all sub contracts for safety
  • One Calls (CSO), Supers to ensure all areas are covered and then deliver to Foreman and review
  • NOP are readily available and accessible for WCB on site
  • Super will ensure foreman are properly equipped to follow through with safe work procedures
  • Supers to uphold the highest standards of our OHS program
  • Super will confirm paperwork totals from foreman (bi-weekly basis)
  • Supers are required for 2 site inspections monthly
  • Supers to ensure setup pre-job safety board
  • Supers to ensure proper manuals and binders available (OHS, WHMIS, etc.) i.e., foreman’s truck or site office

Superintendent Role – HR

  • Review sheets handed to foreman before employee review date
  • Review employee’s self-evaluation numbers with foreman and adjust together submit numbers to HR
  • Review new hire wages with SPT at operations meetings and advise/discuss with Construction Manager
  • HR to screen new applicants, Supers to relay what positions need to be filled, Supers setup the hiring and orientation
  • Supers may fire employee on spot for major infractions
  • Supers to confer with HR for all other layoffs and firings
  • Supers to inform HR and VP of Construction of trends and uncharacteristic behaviour from employees

Superintendent Role – AP/AR and time

  • Have monthly review with PM for Job Costing, Billing and Scheduling
  • Date to happen last week of the month set at preconstruction meeting
  • Turn in clear and concise quantities to PM weekly if not sooner
  • Submit EWO paperwork and back up to PM weekly
  • Invoices to be reviewed, signed and sent to PM within 3 days of receiving
  • Ensure coding is correct on all paperwork from foreman
  • Ensure Heavy Job is reviewed and signed off by 3pm the next working day

Superintendent Role – Scheduling

  • Create working schedule with PM at beginning of project
  • Control short term scheduling with PM via email, phone call on weekly basis
  • Update working schedule to reflect the work onsite daily and or weekly, before 7am

Superintendent Role – Job Start Up and Close out

  • Review contract and handover documentation 1 week prior to handover meeting if not earlier if time permits
  • Review contract with Project Manager and Construction managers prior to job start (if possible)
  • Provide assistance with project material takeoffs prior to job start up on larger lead time items to be identified at the handover meeting
  • Review scheduling with Project manager and/ or Construction Manager prior to job start up
  • Setup job handover with foreman – review documents per handover list
  • Responsible for job scope completion and identifying substantial completion to PM
  • As built, testing, documentation per contract requirements etc. to be reviewed and non-conforming to be dealt with accordingly
  • Maintain Spreadsheet for Close Out meeting with the Good, Bad, and Better
  • Close out check sheet
  • Review purchase orders and takeoffs
  • Assuming estimating has completed the sub and suppliers along with pricing at hand over
