Project Administrator Location: Nanaimo, BC
Employment Type: Full-time, Office-based (with some site interaction)
We are partnered with a well-established civil construction contractor seeking a proactive and highly organised Project Administrator to support project and site teams on active infrastructure and marine projects in the Nanaimo area.
This role is ideal for someone who thrives in a fast-paced construction environment, enjoys being the backbone of a project team, and takes pride in keeping projects running smoothly from an administrative and documentation standpoint.
Key Responsibilities: - Provide day-to-day administrative support to Project Managers and site teams
- Assist with project setup, document control, and filing systems
- Manage and track purchase orders, invoices, and subcontractor documentation
- Support job costing administration and project financial tracking
- Maintain project schedules, reports, and meeting minutes
- Coordinate RFIs, submittals, drawings, and project correspondence
- Assist with contract administration and change order documentation
- Liaise with suppliers, subcontractors, and internal departments
- Ensure compliance with company policies, safety documentation, and procedures
Qualifications & Experience: - 2+ years' experience in a project administration or coordination role
- Construction or civil contracting experience strongly preferred
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with construction software is an asset
- Ability to manage multiple priorities and deadlines
- Strong communication skills and a team-oriented mindset
