About the role: We are seeking an Administrative Assistant to join our Head Office team based in Enfield. The role offers the successful candidate the opportunity to grow with the company. We are looking for an enthusiastic and reliable individual to assist with a variety of clerical duties and data entry. This vacancy is suitable for an eager person interested in learning new tasks and systems, looking for a secure long-term position. You will be working within a small team that is very busy: excellent communication skills and an ability to engage positively with those around you is essential.
Key Responsibilities
• Working alongside our administration and plant departments
• Liaising with our site-based teams
• Placing plant orders from written and verbal requests
• Entering invoices on the cost system
• Monitoring orders from start to delivery on site
• Liaising with the accounts department to resolve invoice price and delivery queries with suppliers
• Hiring and off hiring plant
• Dealing with hired plant breakdowns – contacting the hirer to arrange for repair or replacement
• Dealing with owned plant breakdowns – contacting the fitter as required
• Receiving paperwork from our sites and filing or distributing it as necessary
• Entering vehicle mileage sheets on Excel
• Entering plant timesheets on Excel
• Executing clerical and general office duties such as setting up filing systems, scanning, data entry, typing, copying and other administrative tasks for special projects as requested
• Answering the phone, directing calls to the relevant member of the Head Office team, or taking accurate messages
• Any other ad-hoc admin duties as required
