Building and Facilities Manager | Barristers Chambers | Central London About the Client: SSA are working on behalf of a leading set of barristers' chambers based in Central London, specialising in commercial and financial litigation, arbitration, public law and public international law.
About the Role: They are currently seeking a Building and Facilities Manager to join their team. Reporting to the Operations Manager, they will:
- Ensure that buildings and facilities are in a good state or repair to provide a safe working environment for Members and Staff
- Ensure that buildings and facilities are compliant with all relevant legislation Budget responsibility for buildings and facilities
- Supervise Buildings C Facilities Assistant in his duties Manage and maintain door entry systems
- Manage and maintain CCTV Systems
- Report to and work with the Buildings Committee on a regular basis
About the Duties and Responsibilities: General - Liaise with our agents on rent reviews and lease renewal on behalf of Chambers. Negotiation fees and submit for approval.
- Liaise and deal with any landlord or landlord's agents enquires; arranging inspections surveys as and when required; ensure compliance to our lease requirements and covenants in respect of works carried out within Chambers; liaising with legal advisors as necessary.
- Deal with landlords and all third parties directly in relation to any notifiable works and arrange licences to alter and permissions accordingly.
- Identify and arrange viewings on all future premises; arrange for HOT's and report to building committee accordingly.
Budget - Prepare annual buildings budget for approval by committee; monitor and control budget spend.
- Negotiate and agree terms with third parties in relation to all utility and other services supplied to Chambers; manage all buildings and facilities related contracts with third parties.
- Liaise and agree terms for rate reviews and rebates and submit to for approval.
- Check, code and approve all buildings and utilities invoices for payment.
Buildings - Maintenance & Security - Plan, design, cost and implement all building projects for both communal areas and members rooms refurbishment; undertake and/or facilitate Chambers internal moves.
- Manage, plan and undertake all necessary planned and preventative maintenance tasks; ensure maintenance checks are carried out and logs kept.
- Manage all third-party contracts and contractors (building security; cleaners;
- building contractors; general C confidential waste etc).
- Where appropriate, to provide practical hands-on general building, electrical and maintenance works.
Health & Safety - Working in conjunction with members of the H C S Committee to ensure Chambers comply with legislation and best practice in relation to HCS/Fire regulations.
- Organise and assisting in annual Health and Safety and Fire Risk Assessment audits carried out by external consultants; taking both preventative and remedial action as necessary.
- Managing asbestos risk register and ensuring monthly checks are undertaken.
- Reporting to the Health and Safety committee on a regular basis.
- Manage and maintain FGas register
- Manager and ensure TM44 Certificates are current and in place
Any other day to day tasks as reasonably requested, including paid out of hours support during evenings and weekends.
About the Requirements: - Min 8+ years in a Building & Facilities Management role within a high-end working environment would be desirable
- Speed and efficiency in dealing with building emergencies - able to prioritise.
- Ability to work with initiative, maintaining a flexible and responsible attitude.
- Ability to identify potential problems and recommend solutions to those problems. Build and maintain good relationships with third party contractors.
- Good communication with members and staff; good team working. Positive feedback from members and staff.
- Good attendance and timekeeping.
