Project Coordinator - Underground Utilities

The Opportunity We are seeking an experienced Project Coordinator with a strong background in Underground Utilities to support multiple projects from initiation through close-out. This role is ideal for someone who thrives in a fast-paced, operations-driven environment and enjoys being closely involved with field teams.
Key Responsibilities Project Coordination - Manage multiple projects throughout their full lifecycle (start to finish)
- Support Superintendents, Project Managers, and Foremen to ensure successful project delivery
Pre-Construction - Coordinate project setup, scheduling, and resourcing
- Prepare and manage permits, locates, and all required documentation prior to construction
- Liaise with internal departments, sub-trades, consultants, and clients to ensure readiness
- Work closely with operations to maintain schedules, budgets, and deadlines
Construction Phase - Maintain clear, professional communication between office, field, and operations teams
- Coordinate material orders, equipment requirements, and sub-trade scheduling
- Track and communicate scope changes throughout the project lifecycle
- Respond to inquiries from sub-trades, developers, engineers, and clients in a timely and accurate manner
- Ensure compliance with safety, environmental, legal, and contractual requirements
- Actively support and promote the company's Health, Safety & Environment (HSE) program
Post-Construction / Close-Out - Complete final documentation, progress estimates, and project close-out requirements
- Track CCCs, FACs, and all remaining deficiencies
- Participate in close-out reviews and lessons learned sessions
Additional Responsibilities - Obtain and evaluate quotations prior to issuing purchase orders
- Coordinate hauling permits and ensure transportation compliance
- Assist with maintenance coordination for light and heavy equipment fleets
- Build and maintain strong client and stakeholder relationships
- Contribute operational insights to support continuous improvement
- Play an active role in fostering a professional, positive, and collaborative work culture
- Ensure legislative compliance across all levels of operations
Qualifications - Degree or Diploma in a related field
- 3+ years of experience as a Project Coordinator within Underground Utilities or a similar civil construction environment
- Additional training in Safety, Procurement, Project Management, IT, or Equipment Maintenance is considered an asset
- Strong verbal and written communication skills
- Proven ability to manage multiple crews and projects simultaneously
- Calm, adaptable, and solutions-focused approach in dynamic project environments
